This is a guideline, showing how to write a proposal for the General Assembly or the Board. Though a bit strict, if followed it will make the process of dealing with proposals much more efficient.
Please take a look at the examples to get an idea on how to apply this document.
Contents
1. Writing the proposal
1.1. Contents
- Use a good headline! It should describe the overall contents of your proposal.
- Designate it clearly. If the proposal needs to be decided at a General Assembly, then note so. If it needs to be decided by the Board, please note so. Where applicable, note the date of the meeting where it should be decided.
- Keep it short! Please put any supporting documents in an attachment where possible.
- Use bullet points! Split your proposal into items; a modular proposal has a much greater chance of being adopted in part or in full.
- Note when the proposal was written, and on whose behalf. Names usually suffice, but you may have to present a signed paper document by the time the proposal is voted on.
1.1.1. Sections in the proposal
For optimum effect, please split your proposal into the following sections as hinted above:
- Headline (overall description)
- Designation (who should decide)
- Justification (why is this proposal necessary)
- Items to decide
- Signatures (see above)
1.2. Formatting and language
- The proposal and any accompanying documents should be in English.
- Preferred format is plain text, or open standards such as PDF.
- Boring is usually better. Don't use unnecessary styling or images that may distract from the content.
2. Sending it
Please send the proposal in plain text format (or use PDF file(s) where appropriate) to board@ffii.org. (The Board itself should use common sense on this point.) Use a clear, short subject line such as "Proposal for General Assembly: membership fee".
3. Examples
(Example below carefully selected to make no sense. It will have to do for now. =))
3.1. Sell statues of Uncle Scrooge
To be decided on the FFII General Assembly, 2007.
3.1.1. Justification
The undersigned note that the vast number of statues of Uncle Scrooge, recently set up in Disneyland, weigh more than the allowed 500 tonnes each and have not been properly verified, thus posing a risk to public safety. According to the law, these can then be taken into pieces and sold, and the profit (estimated to 5 Gazillion dollars) donated to a non-profit organisation. The FFII has promised not to build any statues of Uncle Scrooge, and is as such an excellent recipient of this money. We will see to it that this is done, given that the FFII accepts this solution.
3.1.2. Proposal
The undersigned therefore propose:
that all statues of Uncle Scrooge weighing more than 500 tonnes, be dismantled and sold,
that all profits will be donated to the FFII.
Signed on January 13, Disneyland,
Mickey Mouse and Minney Mouse
